Accounts

Set up accounts

A matter's accounts live on its Accounts tab, which opens first when you open the matter. The Chart of Accounts shows Asset Accounts, Liability Accounts, Equity Accounts, Income Accounts, and Expense Accounts, each with its accounts and balances. Click a section heading to collapse or expand it.

Add an account

  1. Open the matter. The Accounts tab opens first.
  2. In the section you need, click Add Asset Account, Add Liability Account, Add Equity Account, Add Income Account, or Add Expense Account.
  3. Enter an Account Name, for example Estate Checking Account.
  4. To nest it, choose a Parent Account. Leave None (Top Level) to keep it at the top.
  5. Optionally, enter a Report Description.
  6. Click Add Account.

Parent and child accounts

Any account can have child accounts, and any account can hold transactions, whether or not it has children. There is no limit on nesting depth.

A parent must be the same type as its children. Income accounts can only nest under income accounts, and expense accounts under expense accounts.

A parent shows a folder icon and a balance that includes its children. Click the arrow beside it to show or hide the children.

Report description

The Report Description shows under the account name in the Chart of Accounts and in every report, including PDF, Excel, and CSV exports. Use it for court-facing detail such as the last digits of an account number or a property address. To remove it, clear the field and save.

An account can also carry an internal description, a private note that never appears in reports. The account forms don't show or edit it.

Edit an account

Click the three-dot menu at the end of the account's row and choose Edit. Change the name, parent, or report description, then click Save Changes.

Clicking an account's name opens its transactions. Asset and liability accounts open on the Transactions tab. Equity, income, and expense accounts open the Account Ledgers view with that account expanded.

Reorder and move accounts

Drag an account's row to move it. Where you drop it decides what happens:

  • On the top edge of another account, it goes above that account at the same level.
  • On the bottom edge, it goes below that account at the same level.
  • On the middle of another account, it nests inside that account. The target shows Nest inside.

A parent moves with all of its children. Reports list accounts in the order you set. Net Income (Loss) can't be moved.

Delete an account

  1. Click the three-dot menu on the account's row and choose Delete.
  2. If the account has children, the dialog lists every account that will be deleted with it.
  3. Click Delete Account, or Delete Accounts for a group.

You can delete an account only when it, and every child deleted with it, has no transactions. First delete those transactions or edit them to use a different account. Deletion can't be undone. Net Income (Loss) can't be deleted.

Click Save as Template above the Chart of Accounts to reuse this account structure in future matters. See Use account templates.
