Workspace and team

Workspace roles and permissions

Each member has one role in each workspace: Owner, Admin, or User. Your role can differ between workspaces. New invitations default to User.

What every member can do

All three roles have full access to matter work:

  • Create, edit, close, reopen, and delete matters.
  • Create, edit, and delete accounts and transactions.
  • Run, save, and export reports.
  • Use Import with AI and Chart of Accounts AI.
  • Manage matter tags, transaction tags, and account templates.

What admins add

Admins can also:

  • Invite members and manage invitations.
  • Change roles between Admin and User, and remove admins and users.
  • Choose a plan, change plans, and manage the subscription.

Admins cannot invite owners, change an owner's role, or remove an owner.

What owners add

Owners can do everything admins can, plus:

  • Invite owners and make other members owners.
  • Change an owner's role or remove an owner.
  • Rename the workspace, set its logo and header image, and delete it.
  • Edit the workspace AI instructions.
  • View the audit log.

Settings pages by role

Open Workspace Settings from the menu under your profile picture. The pages you see depend on your role:

  • Owner. General, AI Instructions, Tags, Templates, Members, Plan & Billing, and Audit Log.
  • Admin. Tags, Templates, Members, and Plan & Billing.
  • User. Tags and Templates.

Workspace Settings opens on the first page your role can use. General for owners, Members for admins, and Tags for users.

Owner rules

A workspace always keeps at least one owner. You can't demote or remove the last owner, and the last owner can't leave. To hand over a workspace, make another member an owner first.
