Workspace and team

Switch, create, and set up workspaces

A workspace holds a firm's matters, templates, tags, members, and billing. You can belong to more than one.

Switch workspaces

  1. Click your profile picture in the top right.
  2. Under Workspaces, click the workspace you want. The current one has a check mark.

Estate Bookkeeper opens that workspace's matters list. The header shows the current workspace's name and logo. Estate Bookkeeper remembers the last workspace you used and opens it next time.

Create a workspace

  1. Click your profile picture and choose New Workspace.
  2. Enter a workspace name and click Create.

You become the new workspace's owner. If you sign in without belonging to any workspace, Estate Bookkeeper asks you to create one first, with a Workspace Name field and a Create Workspace button.

A new workspace needs a plan before anyone can create matters in it. See Plans, trials, and current matters.

Rename the workspace

Owners only. Go to Workspace Settings, then General. Under Workspace Name, type the new name and click Save.

Add a logo and header image

Owners only, on the General page.

  • Workspace logo. Shown in the top navigation and menus. Use a square PNG, JPEG, or WebP image, ideally 512 by 512 pixels and at least 256 by 256, up to 2 MB.
  • Workspace header image. Shown behind the workspace name. Use a 4 to 1 image, ideally 1600 by 400 pixels and at least 800 by 200, up to 4 MB.

Click Add Image, or Edit if an image is already set. Choose a file, check the preview, and click Confirm Upload. Estate Bookkeeper shrinks a file that is over the size limit when it can. Click Remove to take an image down.

Write AI instructions

Owners only. Go to Workspace Settings, then AI Instructions. There are two boxes, each with its own Save button:

  • Transactions AI Instructions. Followed by Import with AI when it reads statements, for example how transaction descriptions should be written.
  • Chart of Accounts AI Instructions. Followed by Chart of Accounts AI when it suggests accounts.

Both apply to every matter in the workspace. See Import accounts and transactions with AI.

Delete the workspace

Owners only. Deleting is permanent and removes the workspace with its matters, settings, tags, templates, and related data.

  1. On the General page, under Danger Zone, click Delete.
  2. Type the workspace name exactly as shown.
  3. Click Delete Workspace.
